STANDING RULES
CONEWANGO VALLEY COUNTRY CLUB
As of May 1, 2008
The Standing Rules shall be changed or updated at the discretion of the
Board of Directors.
MEMBERSHIP
Rules governing membership are defined in the bylaws.
See attached chart “CVCC Membership Categories, Privileges and Associated
Membership Costs” for membership categories, fees, and privileges.
Application forms for membership are available at the office.
A member may not change his membership category to another category
requiring a lesser dues structure during any given year once his membership
choice has been selected unless given special permission by the Board of
Directors.
The club office should be advised of category changes prior to October 15 to
assure proper dues billing.
The spouse and children of an individual member may use all of the club
facilities, i.e., pool, tennis, dining room and taproom, and may play 72
holes of golf per year in either 9 or 18 hole increments by paying greens
fees.
A member with a non-golf membership (Social) and children are eligible to
play 72 holes of golf per year for each family member in either 9 or 18 hole
increments by paying greens fees. Arrangements to play must be made with the
golf professional.
GENERAL
GUESTS
Resident guests, living within a fifty (50) mile radius of the club are
extended the privilege of playing golf not more than four (4) times in one
calendar year. A non-resident guest visiting a member may be extended
unlimited privileges to play golf for a period of not more than two (2)
consecutive weeks. This guest may not play golf more than four times at any
other time during that calendar year.
Guests are welcome to dine at CVCC. Non-members may be entertained in the
dining room an unlimited number of times.
ALL GUESTS MUST BE REGISTERED BEFORE THE USE OF ANY CLUB FACILITIES. Records
will be kept of all guests. When a guest has exhausted his/her privileges,
they will be notified by the Board of Directors in person or by mail.
Members must accompany guests in the dining room, on the golf course, on the
tennis courts, or at the pool (exception: babysitter at the pool).
At the time of guest registration, each member must fill out a charge slip
for the appropriate guest fee. All guest fees will be billed on the monthly
club statement.
Fees are outlined in the attached chart “CVCC Fee Schedule”.
Guest restrictions do not apply to special parties, receptions, events or
outings, such as a golf outing given by a business for its employees or
customers, or for which non-member use of the club has been authorized.
All golf and tennis member-guest events, including all scheduled days of
play and one (1) practice session, will be considered one (1) guest visit.
SUGGESTIONS AND COMPLAINTS
Suggestions and/or complaints concerning service, operation of the club, and
charges should be discussed with the Board of Directors or appropriate
committee chairperson.
Suggestions may also be deposited in the suggestion box located in the
entryway by the dining room.
BULLETIN BOARD
All special information pertaining to club functions, membership
applications and notices from the Board of Directors shall be posted on the
bulletin board located in the lobby of the clubhouse.
No notices, signs, or decorations may be placed anywhere in the clubhouse
other than on the bulletin board without approval of the Board of Directors.
The main bulletin board located in the lobby shall be used only for official
club business.
DUES AND CHARGING PRIVILEGES
Members may pay their dues in four (4) equal installments, payable by
December 31, January 31, February 28 (29th) and March 31.
Installment payments not received by the dates specified above will be
assessed an interest charge of 1½% per month for each month past due. Dues
not paid in full by the last installment date will be assessed a 10% penalty
in addition to the interest charges.
Members who wish to pay all or part of their dues before the above listed
statement dates are encouraged to do so. Golf resident members who pay their
dues in full by November 30 of the preceding year are entitled to five (5)
guest green fee passes for the current dues year. A member is not entitled
to use the club facilities until current year dues are paid in full.
MEMBERS ARE RESPONSIBLE FOR THE SIGNING OF THEIR CHARGE SLIPS. EACH MEMBER
IS RESPONSIBLE FOR HIS/HER CORRECT MEMBER NUMBER ON ALL SLIPS. IF A MEMBER
DOES NOT SIGN HIS/HER SLIP, HE/SHE IS STILL RESPONSIBLE FOR THE CHARGE.
PLEASE CHECK THE NUMBER AND NAME BEFORE YOU SIGN.
The Board of Directors has found it necessary to take action against the
small percentage of members who are frequently in arrears. As all small
businesses, the club needs cash flow to operate properly. The Board has
adopted the following policy to ensure that all members will pay their club
bills in a timely manner.
All charges during a calendar month will be billed during the first five (5)
days of the following month. The amount billed is payable during the month
billed.
Member accounts not paid before the first day of the month following the
billing month are considered thirty (30) days past due. All accounts that
are thirty (30) days past due and are not paid in full within another thirty
(30) days (then being 60 days past due) will, in addition to other actions
listed below, be charged a 1-1/2% per month interest charge.
In order to be processed in the billing month, payments must be received
five (5) business days before month end.
Member accounts past due sixty (60) days will, in addition to the interest
charge specified above, result in the automatic suspension of the member.
Suspended members shall have their names and delinquent amounts posted on
the official club bulletin board and also published in the newsletter.
Suspended members may not use any club facilities.
Any member with amounts past due ninety (90) days will be requested by the
Board to offer reasons why the member should not be expelled.
Specific questions concerning charges should be directed to the office
manager.
CLUBHOUSE RULES
CLUBHOUSE DRESS
No bathing suits or bare feet are permitted in the clubhouse. Men and boys
must wear shirts at all times.
THERMOSTATS
Thermostats are to be adjusted by staff only.
LOCKER ROOMS
Lockers are available for adult members as outlined in the attached chart
“CVCC Membership Categories, Privileges and Associated Membership Costs”.
Contact the golf professional for assignment of a locker.
Junior boys eighteen (18) or older and girls fourteen (14) or older are
permitted to use the clubhouse locker rooms. All other juniors are expected
to use the pool bathhouse facilities unless accompanied by a parent in the
clubhouse.

Menu items from the taproom menu will be served in the card room and taproom
until 9:30 pm Tuesday – Saturday.
RESERVATIONS
PLEASE! We require reservations in order to schedule our kitchen and dining
room personnel in a manner that provides excellent member service while
controlling our operating costs. If you arrive without a reservation there
may be a wait before you are seated.
Please cancel reservations when they will not be used.
TIPPING
There will be a 15% gratuity added to all checks. If you wish to tip an
additional amount, please leave cash for the server or note additional tip
on the charge slip. The entire tip goes to your server. Bartenders and
waitresses depend on tips for their income. Members are urged to tip
appropriately for their services. If service was not up to country club
standards, please notify the clubhouse manager.
DRESS
Smart casual dress is acceptable for men and women any day of the week while
dining. Men need not wear jackets.
SMOKING
Smoking is permitted in the taproom and card room only. Smoking is not
permitted in other areas of the clubhouse.
CANCELLATIONS
Cancellations for Easter or Mother’s Day will not be accepted later than
twenty-four (24) hours prior to the event.
GENERAL CLUBHOUSE
Persons under twenty-one (21) years of age must be accompanied by an adult
while in the taproom. Anyone under twenty-one (21) years of age will not be
served alcoholic beverages.
No glasses are to be taken from the clubhouse building. Paper cups are
available for drinks going to the golf course and pool.
The service window in the taproom is for adults eighteen (18) or over.
The taproom is always open to the membership during a special event unless
the Board of Directors authorizes closure.
The dining room menu is available in the taproom during dining room hours.
When the dining room is closed for special events, members may have dinner
in the taproom during normal dining room hours, unless directed otherwise by
the Board of Directors.
Absolutely no pets permitted on the premises at any time.
Food or beverage consumed on CVCC property by members or guests during
outings must be supplied by CVCC or arranged by the clubhouse manager.
All vehicles must be parked in the paved lot or the overflow area, the grass
area adjacent to the tennis courts.
Members shall not reprimand an employee. Unsatisfactory service should be
reported to the appropriate manager or to the Board of Directors.
There will be no take out food service available during the last day of each
month that the club is open. The club is not considered to be open on
Mondays, thus the last open day of that month would be the Sunday before.
Also, there will be no take out food service available during major
functions in the dining room.
GOLF
NEW MEMBERS
Sponsors of new golfing members will introduce the new members to the golf
professional. He will give information regarding club storage, golf lessons,
use of the practice range, upcoming tournaments and arrange matches.
RECIPROCALS
CVCC has a reciprocal agreement with the Bartlett Country Club in Olean, NY,
Springville Country Club in Springville, NY, Gowanda CC in Gowanda, NY, the
Country Club of Meadville, in Meadville, PA, and the Ontario Golf Club in
Ontario, NY. There is also a dining reciprocal agreement with Moonbrook
Country Club in Jamestown, New York. Arrangements must be made through the
CVCC professional for the golf reciprocals. A copy of the guidelines is
available in the pro shop. Reservations are encouraged for the dining
reciprocal.
PRO SHOP
The pro shop is under the direct supervision of the golf professional.
Prices are set and collections are made by invoices from the pro shop.
Charges incurred at the pro shop are payable to the golf professional within
thirty (30) days upon receipt of invoice. Statements not paid in full by
month end will be assessed a 1.5 percent (1-1/2%) interest charge or $2.50
service charge, whichever is greater.

CLUB STORAGE AND SERVICE
Club storage service includes prompt availability of clubs, club cleaning
after each use, and care of your bag.
GOLF LESSONS
Individual and group lessons are available. Contact the golf professional or
assistant golf professional for fees and appointments.
PRACTICE BALLS
A practice range is available for unlimited use for the entire season. The
season fee for the use of the range is included in your annual dues. Members
may not use their own practice balls on the practice range.
Range balls are the property of Conewango Valley Country Club and should not
be removed from the practice range.
If it is necessary to pick up balls without the use of the cart with the
cage, the range will be closed.
GOLF CARTS
Handcarts for walkers are available to all members and guests on a no charge
basis. Motorized carts are available by signing a charge slip in the pro
shop and paying the applicable rental charge as outlined in the attached
“CVCC Fee Schedule”. Minors under the age of 21 years must have a valid
drivers license to drive a golf cart.
GREENS FEE PASSES
Greens fee passes may be used in 9 hole increments or one-half of a pass at
a time. A one-half pass may also be used for a family member.

ETIQUETTE AND PLAY
All golfers are requested to use soft spikes as no metal spikes are allowed.
Please assist us in keeping our course in excellent condition. Replace
divots and put trash and broken tees in convenient containers located at
every tee.
Playing time for eighteen (18) holes should be 4.5 hours.
Carts must stay on pathways around greens and tees.
Do not pull handcarts across greens, tees and sand traps.
Do not lay hand carried bags on greens.
Please allow faster players behind you to play through. After you have
extended your invitation, do not drop another ball or continue to play until
those going through are out of range. Foursomes have priority over twosomes
except for official club matches. Groups greater than four (4) players must
have the golf professional’s permission to play the course.
Please putt as quickly as possible. Mark your scorecard away from the green
to allow others to hit on.
Players may not cut in front of other groups. Play will start from No. 1
tee, unless the golf professional is consulted and gives approval to start
elsewhere.
Members are encouraged to call infractions concerning course etiquette or
rules politely to the attention of other golfers.
The golf course may be closed or the use of carts restricted because of
unfavorable conditions at anytime by the superintendent.
The decisions of pro shop personnel in interpreting the club rules and
By-Laws relating to play on the course including but not limited to slow
play, inappropriate conduct and cart usage, will be respected and adhered to
by all members.
Practice is restricted to the practice range and the putting green.
When players are on the greens and the flag is out, please do not hit to the
greens until flag is replaced.
HANDICAPPING
USGA rules of golf will govern all events and competition. Special local
rules are printed on golf cards or are issued by the golf professional.
Individual golfers are responsible for recording their adjusted score in the
computer in the pro shop. Scorecards must be turned in. Anyone failing to
abide by the rules set by the handicap committee will be subject to a
posting of a score equal to ones lowest posted score for each occurrence.
CLUB CHAMPIONSHIP ELIGIBILITY
A golfer must be a voting golf member to be eligible to participate in the
Men’s or Women’s club championship.

Tee times will be available (7) days a week. You may call for tee times on
Thursday mornings starting at 8am for the following week’s play (Friday
through Thursday). Women may call Tuesday for the following Tuesday tee
times only.

MEN’S GOLF
Thursday is men’s day.
Eligibility: Men age eighteen (18) and over are eligible to participate in
men’s golf activities.
Men’s golf association fees are due by May 15th.
Guests are not eligible to compete in men’s golf association tournament
play, except as allowed by the men’s golf association. Guests are encouraged
to play on Thursdays, provided they play with a member.
The Men’s Golf Association has rules (see attached “CVCC Men’s Golf
Association Bylaws”) and a rules committee that makes decisions. The golf
professional has input and veto privileges.
WOMEN’S GOLF
Tuesday is women’s day.
Eligibility: Junior girls may qualify in any division providing they are
sixteen (16) and pay the association dues. Although under-graduates of high
school may compete in all women’s events providing they meet age and
handicap qualifications, they may not compete in mixed events.
All association members are eligible to compete in scheduled weekly
tournaments.
Association dues will be payable by May 15th to the Treasurer of the Women’s
Golf Association. Golfers whose dues have not been paid by that date cannot
compete in the weekly tournaments.
Tournament Play:
Women players must have at least a temporary handicap of forty (40) or less
to be eligible to play and compete in the eighteen hole weekly tournaments.
All other handicap players are encouraged to join the nine-hole group. USGA
rules govern all play with the exception of local rules. All cards are to be
turned in, signed, attested, adjusted and dated. The official handicap for
tournaments will be that which is posted on the pro shop bulletin board.
Handicaps are computed using the USGA format.
The Women’s Golf Association has Standing Rules (see attached “CVCC Women’s
Golf Association Standing Rules”) and a rules committee that makes
decisions. The golf professional has input and veto privileges.
JUNIOR GOLF
Eligibility: A junior golfer must be six (6) years old by sign up time and
not have completed high school in order to participate in the junior golf
program.
Priority for participation in junior golf shall be children of members or
grandchildren of members. The golf professional, with the approval of the
Board of Directors, shall determine the number of participants allowable in
junior golf, set and collect all fees. The golf professional shall also
submit a report to the Board of Directors annually on the program.
Children of the club’s golf and tennis professionals may participate in the
junior golf program activities with the exception of the junior golf
championships.
Friday morning is scheduled for junior golf activities. The course is closed
for play until 11am on Junior Fridays.
Divisions: Novice ages 6 through 8
Prep ages 9 through 11
Cadet ages 12 through 14
Junior ages 15 through high school
PROFICIENCY CARDS FOR JUNIORS
Proficiency cards will be issued by the golf professional.
Junior golfers can receive a proficiency card by meeting the following
requirements:
1. Have reached their eleventh birthday or have an established handicap of
forty (40) or less.
2. Show the golf professional their ability to move the ball around the
course and to play without delay or disruption to others.
The golf professional has the exclusive right to suspend or revoke a junior
proficiency card for misconduct or breaking of junior rules.
HANDICAP
Junior golfers must turn in all scorecards; signed with full name, dated,
attested, adjusted, and totaled, or the score will not be used for
handicapping.
GOLF COURSE PLAY
All junior golfers are subject to the same rules and regulations concerning
golf etiquette and course play, as are adults.
For adequate course control, all junior golfers with proficiency cards must
request permission from the golf professional before teeing off during
scheduled hours.
Girls and boys under eleven (11) will play from the red tees. Boys eleven
(11) and older are required to play from the white tees.
When one complete hole is open ahead of slower playing golfers, the faster
playing golfers should be invited to play through.
Junior members using the practice areas and practice putting green shall
give way to the adult players when requested to do so.
JUNIOR CHAMPIONSHIP ELIGIBILITY
Junior girls and boys will play a championship tournament in all divisions
annually. The junior golf registration fee is required. Format for this
special tournament shall be posted prior to play.
JUNIOR PARTICIPATION IN ADULT TOURNAMENT PLAY
BOYS: Any junior boy may play in the men’s championship provided he
qualifies for the men’s championship flight.
GIRLS: Any junior girl is welcome to participate in women’s tournaments
provided they are at least 16 years of age, pay the association dues, and
meet handicap requirements.
TENNIS
TENNIS LESSONS
Individual and group lessons are available by arrangement with the tennis
professional.
DRESS
Acceptable tennis attire and tennis shoes (flat soles preferred) please. Men
must wear shirts at all times.
PLAY
Members may play on open courts without reservations except during scheduled
events. Players must brush courts after use.
Week-long camps Monday through Friday 10:00 AM—noon
(6 weeks sessions-times TBA) for juniors.
SWIMMING POOL
CONDUCT
No toys, inflatable rafts, boards and balls are permitted in the large pool.
No running is permitted around the pool. Active pool games are permitted
only when approved by the lifeguard.
No bottles or glassware are permitted in the pool area.
All refuse must be disposed of in trash cans. This includes tabs from pop
cans.
Chewing gum is not permitted in the pool area.
No one is allowed to swim when the lifeguard is not on duty. Violators are
subject to disciplinary action from the Board of Directors.
Children are to use restrooms in the dressing areas near the pool. Only
children accompanied by a parent are permitted to use the restrooms in the
clubhouse.
Towels are not to be taken from the clubhouse locker rooms for pool use.
No one in bathing attire is allowed in the clubhouse, except while using the
clubhouse locker rooms. Anyone in bathing attire should use the snack bar or
vending machines provided at the pool area.
DISCIPLINE
Children who do not observe the swimming pool rules shall be prohibited from
the pool area for a length of time to be determined by the lifeguard or
clubhouse manager.
AGE REQUIREMENTS
All children nine (9) years old and younger must be supervised by a parent
or babysitter.
SWIM AREAS
SMALL POOL:
Children up to five (5) years of age are to use this pool under supervision
of a parent or babysitter.
LARGE POOL:
Children five (5) years and older must use the large pool. A deep-water test
able to swim two lengths is required to swim in the large pool. Those unable
to pass the test must be accompanied by a parent or a babysitter.
GUESTS
Guests are extended the privilege of using the pool. Members are required to
register their guests, fill out a charge slip, and pay the guest fee as
outline in the attached “CVCC Fee Schedule”.
BABYSITTERS
A babysitter must be at least twelve (12) years of age.
A babysitter is not permitted to supervise more than two (2) children at the
pool.
A babysitter is not restricted to using the pool four (4) times per year if
the babysitter is a guest.
THE LIFEGUARD IS NOT TO BE A BABYSITTER!

Food service will not be available on Mondays.
FOOD SERVICE WILL NOT BE AVAILABLE ON DAYS OF SPECIAL EVENTS WHEN THE

TOURNAMENT, ETC.
OUTSIDE FUNCTIONS
Golf outings will be billed to the organization (such as the American Cancer
Society or Special Olympics) or company on a “cost per person” basis with
the cost inclusive of greens fees, cart, lunch and or dinner. The sponsoring
organization will charge an appropriate entry fee. There is no reduced rate
for CVCC members – i.e. the greens fee is not waived.

CVCC Men’s Golf
Association Bylaws – Revised April 2003
MEMBERSHIP
1) All men members in good standing with the Conewango Valley Country Club
and the Men’s Golf Association may become members of the CVCC Men’s Golf
Association by paying an annual dues (to be determined by the committee at
the first Men’s Golf Committee meeting of each year) directly to the
Treasurer of the Men’s Golf Committee by May 1st of each year. The Treasurer
of the Men’s Golf Committee will be responsible for providing an address for
the annual dues to be remitted. After May 31st the dues will increase by
$10.00. Exceptions may be made for new members who join CVCC after the May
1st deadline.
2) Golfers who are in good standing and have paid their dues will be
eligible to:
a. Participate in the Thursday Men’s Day events including the hors d’
oeuvres, snacks and beverages when available.
b. Participate in the One-Day Member/Member - Member/Guest Tournaments.
c. Participate in the Annual Member/Guest Tournament.
d. Participate in the Club Championship.
e. Participate in the Steeplechase (By invitation only).
f. Participate in the Two-Day Member/Member Tournaments.
g. Be covered by Hole-In-One Insurance with a maximum amount (per
hole-in-one) to be determined by the Men’s Golf Committee at the initial
meeting of each year.
3) No man may secure a position for ANY Men’s Golf Association – sponsored
event unless he has paid his dues for the current year. It is the
responsibility of the individual man to ensure that he is a member of the
Men’s Golf Association before entering a Men’s Golf Association – sponsored
event. Men who have mistakenly participated in a Men’s Golf Association –
sponsored event, but have not paid their Men’s Golf Association dues will be
notified by the committee as soon as the error is discovered. They will have
seven (7) days from notification to remit dues payment to the Treasurer of
the Men’s Golf Association or will be required to forfeit all prize winnings
or match from said event and will be ineligible to enter any future Men’s
Golf Association – sponsored events unless dues are paid in full (with
penalty for late payment, if applicable).
4) Junior boys may participate in the Men’s Golf Association provided that
they are:
a. 18 years of age
b. Have paid their annual dues
c. In good standing with CVCC and the Men’s Golf Association
d. Have a legitimate USGA handicap or assigned handicap at the discretion of
the pro.
FUNCTION OF THE MEN’S GOLF ASSOCIATION
1) Establish a Governing Committee to oversee the functioning of the Men’s
Golf Association.
2) Establish, implement and monitor the handicap system in accordance with
the rules of the USGA and the local rules at CVCC. Establish rules and
penalties to ensure fair play should abuse of the established handicap
system be discovered.
3) Sponsor and help coordinate Thursday Men’s Golf Day events and sponsor
Men’s Day refreshments as the Men’s Golf Committee deems appropriate
according to budget.
4) Sponsor, implement and help run all Men’s Golf Association sponsored
events. The list of tournaments may be amended to include additional
tournaments or delete tournaments by a majority of the total membership of
the Men’s Golf Committee at a formal meeting only.
5) Each year at the discretion of the Men’s Golf Committee sponsor a “Golf
Course” improvement that will enhance the quality of the golf course or a
tournament event that is sponsored by the Men’s Golf Association. At no time
is this improvement to be a regular maintenance item of the golf course or
club house unless agreed upon under special circumstances by a majority of
total membership of the Men’s Golf Committee.
6) Determine the good standing of men players at CVCC in the areas of dues
delinquency, fair play and conduct Men’s Golf Association sponsored events
with regards to eligibility for membership in the Men’s Golf Association.
ORGANIZATION
1) The Men’s Golf Association shall be governed by a committee comprised of
nine (9) members. This committee shall consist of a Chairman, Member/Guest
Chairman, Member Guest Assistant Chairman, Secretary, Treasurer, Handicap
Chairman and three (3) general members.
2) Nominations of committee members will be made by submitting a list of
interested Men’s Golf Association members to the committee at the following
meeting after a committee member has submitted and has received of a
resignation. Applicants must be a member of CVCC and then Men’s Golf
Association in good standing of both organizations for at least one (1)
year. Applicants will be voted in by nominee receiving a majority of votes.
A second applicant may be voted in if needed by a second vote taken by the
committee, and so forth.
3) The progression of officers will be as follows unless a large turnover of
members necessitates the Chairman of the Men’s Golf Association to appoint a
first or second year member to serve as an officer.
a. First year – may serve as a general member and Secretary.
b. Second year – may serve as a general member , Secretary, Member/Guest
Assistant Chairman, Treasurer and Handicap Chairman
c. Third Year – may serve as a general member, Secretary, Member/Guest
Assistant Chairman, Treasurer and Handicap Chairman. The previous
Member/Guest Assistant Chairman will become Member/Guest Chairman and the
previous Member/Guest Chairman will become Committee Chairman.
d. The positions of Secretary, Treasurer and Handicap Chairman may be served
by the same person in consecutive years. The Chairman will serve a one (1)
year term. In case of special circumstances (I.E. previous Member/Guest
Chairman moving or leaving CVCC) the Chairman may serve a second consecutive
year. Under no circumstances will a person serve more than two (2)
consecutive years as Men’s Golf Committee Chairman. Any of the general
members who does not serve as an officer within four (4) years will be asked
to leave the Men’s Golf Committee.
e. Committee members may indicate which office they would like to hold but
the final determination of office holders for the following year will be by
appointment by the incoming Men’s Golf Committee Chairman.
DUTIES OF COMMITTEE MEMBERS
1) Chairman of the Men’s Golf Committee – Duties include:
a. Scheduling and calling regular monthly meetings and special meetings of
the Men’s Golf Committee.
b. Running meetings on an orderly and proper manner as determined by the
bylaws of the Men’s Golf Association.
c. Responsible for enforcing attendance of members as determined by the
bylaws of the Men’s Golf Association and dismissing members from the
committee who fail to uphold the responsibilities assigned them in the
bylaws.
2) Member/Guest Chairman – Duties include:
a. Scheduling the annual Member/Guest Tournament
b. Preparing the budget for the tournament and presenting this budget to the
appropriate club personnel to ensure a balanced tournament budget.
c. Design the tournament format.
d. Select prizes for the tournament.
e. Be responsible for addressing all issues involved in running the annual
Member/Guest Tournament.
f. Will take the office of Chairman of the Men’s Golf Committee the
following year.
3) Member/Guest Assistant Chairman – Duties include:
a. Performing all tasks assigned by the Member/Guest Chairman to ensure a
successful tournament.
b. Will take the office of Member/Guest Chairman the following year.
4) Treasurer – Duties include:
a. Preparing a letter to be sent to all prospective Men’s Golf Association
members. This must be done in a timely manner to ensure all prospective
members have an adequate opportunity to pay their annual dues without
penalty.
b. Provide an address for members to submit their annual dues payment.
c. Collect and promptly deposit dues payments.
d. Keep a current cash flow assessment of the financial well being of the
Men’s Golf Association.
e. Direct payments to cover expenses incurred and pay for projects
undertaken by the Men’s Golf Association.
5) Secretary – Duties include:
a. Providing Men’s Golf Committee members with copies of previous Men’s Golf
Committee meeting minutes
b. Taking attendance at Men’s Golf Association meetings and informing the
Chairman of members who do not attend committee meetings as outlined by the
bylaws.
c. Taking summary notes of discussion and officially recording results of
votes taken at Men’s Golf Committee meetings.
d. The Chairman may appoint any committee member to serve as acting
secretary for an individual meeting should the Secretary be unable to
attend.
6) Handicap Chairman – Duties include:
a. Establishment of legitimate USGA handicaps for men players at CVCC.
b. Posting appropriate instructions as to the proper way of filling out a
scorecard, making proper adjustments and proper posting of scores.
c. Ensuring timely updates and postings of current handicaps.
d. Verifying proper scorekeeping and posting of individual scores.
e. Penalizing players for improper scorekeeping and posting according to the
rules and penalties as determined by the USGA, the local rules of CVCC and
the Men’s Golf Committee.
7) General Members – Duties include participating in discussions and voting
on issues at Men’s Golf Committee meetings.
8) Officers and General Members – Attendance at Men’s Golf Committee
meetings is mandatory unless the Men’s Golf Chairman is notified before 24
hours of the meeting. Failure to attend two (2) or more unexcused meetings
or three (3) or more excused meetings in a calendar year will result in
removal from the Men’s Golf Committee. All members are expected to
participate in Thursday ticket sales, Member/Guest raffle ticket sales (if
held) and any other fund raising activity as deemed necessary by the Men’s
Golf Committee. Failure to do so will result in removal from the Men’s Golf
Committee. Failure to assume responsibility for the stated progression of
offices within the committee or failure to serve as an officer within the
committee as stated in the Men’s Golf Association bylaws will result in
removal from the Men’s Golf Committee.
MEETINGS OF THE MEN’S GOLF COMMITTEE
1) Meetings of the Men’s Golf Committee will be held monthly from March
through October at a location to be determined by the Chairman. Members will
be given a seven (7) day notice of such meetings. Attendance is mandatory as
determined by member duties as stated in the bylaws.
2) Special meetings may be called by the chairman of the Men’s Golf
Committee as deemed necessary but must allow the seven (7) day notice to
allow members appropriate time to arrange attendance.
3) Meetings will be conducted according to the proper structure as outlined
in “Robert’s Rules of Order.” Disruptive behavior and profanity will not be
accepted. Such behavior may result in suspension from the current meeting or
removal from the committee as determined by the Chairman of the committee,
4) A quorum for an official Men’s Golf Committee meeting shall consist of
five (5) members.
5) Assessing penalties for major rules infractions (as determined by the
Handicap Chairman) of scoring, posting or unfair play will be determined by
the committee. Each major penalty must be agreed upon by a majority of the
total membership of the Men’s Golf Committee.
6) Amendments to the bylaws requires a majority vote of the total membership
of the Men’s Golf Committee.

STANDING RULES
MEMBERSHIP
1. One may become a member of the Women’s Golf Association by paying the
annual fee of $35.00 to the CVCC Women’s Golf Association by June 1st of
each year. The fee will increase to $40.00 for all later payments. Golfers
whose dues have been paid in full will then become eligible for Tuesday
events and are also eligible to participate in any of the tournaments and
functions scheduled on the Women’s Golf Calendar. All CVCC Women’s Golf
Association members are invited to attend the monthly Board meetings. All
women of CVCC, regardless of membership in the Women’s Golf Association, are
invited to attend the Opening and Closing Dinners and participate in the
Cancer Tournament.
2. A Junior girl is welcome to become a member of the Women’s Golf
Association, participate in weekly play, special events and Championship
tournaments provided she is at least sixteen (16) years old, pays
association dues and has an established handicap. She is not eligible to
participate in any mixed events.
ORGANIZATION
GOVERNING BOARD.
1. Women’s Golf shall be directed by the Governing Board comprised of 8
members. This Governing Board shall consist of a Chairman, Vice Chairman,
Recording Secretary, Corresponding /Remembrance/Historian Secretary,
Treasurer, Assistant Treasurer, Tournament Chairman, , and Ringer/Results
Chairman.
2. The officers of the Governing Board shall comprise the Executive
Committee and shall consist of five people: Chairman, Vice Chairman,
Recording Secretary, Corresponding/Remembrance/Historian Secretary and
Treasurer. The slate of officers will be nominated by the Governing Board at
the August meeting. These nominations will be posted immediately following
the August meeting. The positions for Chairman and Treasurer will be filled
by their assistants. If for any reason the assistants are unable to assume
these positions and the current Chairman and/or Treasurer are unable to
serve another term, the positions of Chairman and/or Treasurer must be
filled by an Association member who has previously served on the Board.
Anyone wishing to submit a nomination may do so by contacting a Board Member
prior to the September meeting. The remainder of the Governing Board shall
be appointed by Executive Committee. In order to be nominated or hold office
you must be a member of the Association.
3. The Governing Board shall meet monthly from March through October on the
second Tuesday of the month at 7:30 P.M. unless otherwise posted. The
Chairman shall call the meetings. All Board meetings are open to the
membership. A schedule of the meetings shall be posted in the Ladies Locker
Room and downstairs on the bulletin board. The Executive Committee shall
meet in October prior to the final meeting of the year to review the
Standing Rules. The Chairman shall call special meetings of the Executive
Committee during the year, as required, to discuss and resolve issues that
need immediate attention.
TERMS OF OFFICE
CHAIRMAN shall serve a minimum of three (3) years: one year as Vice
Chairman, one year active and one year as Advisor. The Advisor shall attend
all Board meetings, but will have no voting rights except in the event of
the need to break a tie.
VICE CHAIRMAN shall serve a one (1) year term and then become Chairman. If
the Vice Chairman is unable to complete her term, she will be replaced and
that person will complete the Vice Chairman’s term and she then will elevate
to Chairman the following year.
RECORDING SECRETARY AND CORRESPONDING SECRETARY will serve one (1) year
terms.
TREASURER will serve a one (1) year term and be replaced by the Assistant
Treasurer.
ASSISTANT TREASURER will serve a one (1) year term and become Treasurer. If
the Assistant Treasurer is unable to assume the duties of the Treasurer,
then the Governing Board can place the existing Treasurer’s name on the
slate of officers for another term.
DUTIES OF EXECUTIVE OFFICERS
CHAIRMAN shall preside at all meetings, appoint committee heads, prepare the
Women’s Golf Calendar, review the Standing Rules with the Executive
Committee and make recommended changes to the Board, review the Tournament
Rules with the Tournament Chairman, advise Committee Chairmen when
necessary, and assist in finalizing the winners of year-end results to
determine the winner of the most improved golfer award.
VICE CHAIRMAN shall assist the Chairman when necessary and perform the
Chairman’s duties in her absence. She shall interpret the CVCC Women’s Golf
Association Standing Rules and assist the Tournament Chairman in her duties.
CORRESPONDING SECRETARY/REMEMBRANCE/HISTORIAN shall respond to and help
compile all necessary Women’s Golf communications; extend remembrances
(illnesses, deaths, hospitalizations and births) to our membership; maintain
the scrapbook and photo album when appropriate.
RECORDING SECRETARY shall notify all Board members of meeting and record
attendance and minutes of meetings. She shall provide copies of minutes to
all members of the Governing Board. Minutes of the meetings shall be mailed
to the Committee prior to the next scheduled meeting. She shall keep a
current membership list on file.
TREASURER shall collect fees; keep financial records and purchase end of
year prizes. She, along with the Chairman, shall be responsible to verify
the year-end results to determine the winner of the Most Improved Golfer
award. She shall keep a current membership list and provide the Recording
Secretary and Chairman with copies. She shall also provide the Chairman with
a copy of the monthly financial reports.
DUTIES OF APPOINTED BOARD MEMBERS
TOURNAMENT CHAIRMAN shall be an advisor for all Women’s Golf tournaments.
USGA Golf rules apply to all events and the Tournament Chairman shall assist
and refer all rules issues to the Head Golf Professional.
ASSISTANT TREASURER shall assist the treasurer with her duties and shall
perform the Treasurer’s duties in her absence.
RINGER /RESULTS CHAIRMAN: She shall check all scorecards for accuracy and
eligibility; tally all scores for ringer end of year prizes; maintain weekly
results records as compiled by the Golf Professional; assign points per
weekly results and determine year end prize winners. Weekly results,
compiled by the Head Golf Staff, will be faxed by Thursday of each week to
the local Newspapers. The Golf Professional has the option to combine
flights, due to lack of participation, if necessary.
HANDICAPS
1. Handicaps are computed by the CVCC Pro Shop. All scores, 18 Hole and 9
Hole,
are to be posted on the computer. Nine hole scores are to be marked for
front nine or back nine.
2. The maximum handicap recognized by the USGA is 40 and shall be
used for all tournaments. The only exceptions will be the weekly events and
net points played on Tuesday.
3. All cards for Tuesday play are to be turned in, signed, attested, dated
and adjusted correctly and must be submitted by 8:00 P.M.
Any card submitted incorrectly may be subject to penalties.
4. Handicaps are based on the 10 lowest of the last 20 scores. New players
will be
issued a temporary handicap when five 18 hole scores are posted.
TOURNAMENTS
1. IN ANY TOURNAMENT, IF THERE ARE NOT ENOUGH PLAYERS TO
FILL A FOURSOME, AN ASSOCIATION MEMBER OR MARKER APPROVED BY THE CHAIRMAN OR
GOLF PROFESSIONAL MUST PLAY WITH THE FOURSOME.
2. You must be a member of the Women’s Golf Association to participate in
tournaments.
3. USGA and CVCC Local Rules shall prevail.
4. With the exception of regular Tuesday play, no scores will be posted
until the scores of all participants have been turned in.
5. In tournament play, score cards will be exchanged with your opponent.
Scores
must be agreed upon before teeing off at the next hole. If a rules issue
arises during the course of play that cannot be resolved by the players, a
second ball should be played through the hole (recording the score for both
balls). A decision shall be obtained from the Head Golf Professional at the
completion of the round.
6. Any decision to postpone a tournament shall be decided by the Head Golf
Professional regarding course unplayability or weather endangerment. The
tournament may be rescheduled if a rain date has been provided.
7. Play or practice on the course to be played the day of and prior to a
match is not permissible. Penalty=Disqualification.
WEEKLY TOURNAMENTS
9 HOLE EVENT
1. Tuesday is designated as Ladies Day. No tournaments other than those
scheduled
by the Women’s Golf Association shall take precedence. Players must complete
9 consecutive holes with an Association member and hole out all putts. There
will be twenty (20) weeks of scheduled competition. Players must complete
AND post a minimum of 5 rounds on the weekly results sheets in order to
qualify for year end prizes.
2. Association members who wish to participate in scheduled play may begin
play
with tee times at 8:00 a.m. TEE TIMES ARE REQUIRED.
You may make your tee times starting on Tuesday for the following
Tuesday play. The front 9 and back 9 will be alternated each Tuesday.
Lady players with tee times will have precedence on the starting tee. Those
without tee times will be able to play in any open tee slot.
3. The flights will be as follows:
First Flight 0 - 23
Second Flight 24 – 30
Third Flight 31 – 39
Fourth Flight 40 and up
4. It is considered an event when a minimum of 12 players finish 9 holes.
5. The event and putts shall be a nine-hole weekly event, alternating
weekly, front
and back 9s. Points will be given for Low Gross, Low Net, Low Putts and the
weekly event for nine hole play. Ringers shall be posted for nine hole play
only.
Event winners- First Place- 2points
Second Place- 1point
Low Gross Winners- First Place- 2points
Second Place- 1point
Low Net Winners- First Place- 2points
Second Place- 1point
Low Putts Winners- First Place- 2points
Second Place- 1points
These points are awarded per flight
Points will accumulate weekly and will be paid out at the end of
the year for prizes. No weekly Certificates will be awarded.
6. Members must complete the Tuesday results sheet, to include handicap,
gross score, net score, Event and putts. It is your responsibility to post
your changes on the Ringer board.
7. Golfers who choose to play 18 holes will be recognized in the Warren and
Jamestown newspapers for achievement of Low Gross and Low Net and will be
awarded year end prizes. Golfers will only be eligible to receive points
when
finishing the 9 Hole event (low gross, low net, low putts and event
that is scheduled for the day). Golfers who place first and second in their
flight for the 9 hole event will receive points.
LADIES MEMBER-GUEST
General Tournament Rules (see above) will apply to this tournament.
The Chairman of the event shall set the time of the tournament.
The Chairman of the event shall set the entry fee. This is self-supporting
and the fee should include prizes, food and decorations.
A guest with no established handicap MUST submit scorecards for five (5)
18-hole rounds in order to get a handicap for the tournament. Guests will
play with a maximum handicap of 36 and Members will play with a maximum
handicap of 40.
If there are not enough players to fill a foursome, then an Association
member or marker approved by the Chairman must play with the twosome.
MEMBER- MEMBER TOURNAMENT
General Tournament Rules (see above) shall apply to this tournament.
The Chairman of the event shall set the entry fee. This event is
self-supporting and the fee shall include prizes, food and decorations.
The event will be a 2 day 18 Hole tournament. The format shall be a better
ball of two (2) with handicap. The best score on each hole of the 2 days
will determine your final score. In the event of a tie, scorecards will be
matched starting with the #1 Hole of difficulty. The maximum handicap will
be 40.
Tuesday tee times are at the player’s discretion. Wednesday shall be a 9a.m.
Shotgun with a luncheon and prizes to follow.
LADIES SENIOR TOURNAMENT
This is a one (1) day event played on a Tuesday during regular play and
shall be played according to general tournament rules. It shall be an 18
Hole or 9 Hole tournament and a player is to declare which round they wish
to compete in prior to tee off. A player shall not qualify for both 18 and 9
Hole tournaments. Flights will be determined by player’s handicaps.
There shall be one 18 Hole Low Gross winner and one 9 Hole Low Net winner.
The Chairman of the event shall set the entry fee. This is self-supporting
and the fee should include any associated expenses for the tournament.
CLUB CHAMPIONSHIP
This event is an eighteen-hole Match Play event and shall be played
according to rules and dates set up by the Ladies Golf Chairman and
Tournament Chairman. Flights and pairings shall be determined by the
player’s handicaps. Competition shall be without handicap in the first
flight only. All other flights will play with handicaps. Flights shall be
named First, Second, Third and Fourth.
Match play is played by hole. A match is won by a competitor who is leading
by a number of holes greater than the number of holes remaining to be
played. Matches that end in a tie shall be played at “sudden death” and
begin on the hole where the match began. For any rules issues, please refer
to #5 under Tournaments in the Standing Rules and see the Head Golf
Professional after the match for a ruling.
If a player is unable to play her match as scheduled, she shall:
(a) Notify the Head Golf Professional and her opponent.
(b) Set a date that is agreeable to her opponent. If an agreeable
date cannot be made within the allotted time, she will forfeit.
If less than six (6) participants sign up in a flight, flights may be
combined at the discretion of the Tournament Chairman or Head Golf
Professional, with the exception of the First Flight.
The player whose name is listed on the top of the bracket will contact her
opponent to set up the match and will begin play at the first teeing ground.
Thereafter, honor at all following tees shall be awarded to the low scorer.
Prizes will be awarded at the Closing Dinner.
STEEPLE CHASE
The Ladies Steeple Chase will be run by the Head Golf Professional. It will
be by invitation to the women with the ten (10) lowest handicaps as
determined by the last handicap listing run two weeks prior to the event. If
an eligible player declines to participate, the Head Golf Professional will
take the next name on the list until the field is filled with ten
participants.
PRIZES
WEEKLY TOURNAMENTS: Points will be awarded to the winners of the event in
each flight each week. Duplicate points will be awarded in the case of ties.
RINGERS: The lowest gross score for the year on each hole may be counted on
Ladies Day (Tuesdays) only and must be attested by a member of the Women’s
Golf Association. Yearly ringer totals end two weeks before the Closing
Dinner. Prizes will be awarded to Low Gross and Low Net in each flight. It
is the player’s responsibility to post their changes on the Ringer Board.
BIRDIE PRIZES: A prize is awarded to players who have accumulated the most
natural birds in her flight during the golf season from Opening Dinner to
Closing Dinner. A player may use any natural birdie she earns with an
attested score any day of the week. All natural birdies must be recorded in
the Birdie Book located on the bulletin board downstairs. Each member of the
Women’s Golf Association recording birdies in the Birdie Book will receive a
birdie pin at the Closing Dinner. All natural birdies are carried with you
from flight to flight.
POINTS ACCUMULATION: These can be won by a player on Ladies Day, if
eligible. A player may win points for Low Gross or Low Net, in addition to
Low Putts and the Event in her flight on Ladies Day. Year-end prizes will be
awarded in the flight the player played the most weeks. At the end of the
year, a golfer is eligible to win Low Gross or Low Net but not both.
FEWEST PUTTS: Prizes are awarded in each flight for the player having the
fewest putts for the year. This record is kept by the Ringer/ Results
Chairman.
LOW GROSS, LOW NET FOR FIELD: A prize is awarded to the player having the
Lowest Gross score for the year for 9 Holes. A prize is awarded to the
player having the
Lowest Net score for the year for 9 Holes. A player may only win one of
these awards.
MOST IMPROVED GOLFER AWARD: This award is presented to the golfer having
begun the season with a USGA approved handicap and who has completed the
season with the greatest percentage decrease in handicap. The last posted
handicap prior to the Closing Dinner shall be used in determining the
winner. A USGA Most Improved Golfer for CVCC is determined by a computerized
system. The winner will be verified by the Chairman, the Treasurer and the
Head Golf Professional.
ETIQUETTE AND DRESS CODE
As a guide, all women golfers are asked to wear acceptable golf attire- NO
halter tops – Bermuda shorts ONLY – NO blue jeans. Guests will not be
permitted on the golf course without proper golf attire (refer to CVCC
Handbook). Soft spikes are required at CVCC.
Consideration for fellow golfers and respect for the game of golf should be
used at all times. |
